Why do projects fail? How can we avoid failure?

Not all projects succeed. Some end in failure. This is because a successful project requires a variety of factors, including appropriate goal setting, schedule management, and internal and external staff management.

However, if you are in a position to manage and operate a project, you do not want it to fail if at all possible, since a project usually involves a number of members and a number of business partners.

Therefore, here are some of the reasons why projects fail and what you can do to avoid them.

Table of Contents

    What are project management failures?

Before moving forward with a project, identify what project success means and what failure means.

    (1) What is a successful project?

Project success is when a project is completed with all three of the following elements met

    -On time
    -On budget
-Providing the client with deliverables of adequate quality.

Conversely, if any one of these three elements is not met, the project is a "failure.

②Examples of project failures and reasons for them

There are three types of project failures as follows

    ▶ Missing the due date
Not setting the schedule properly in the first place and not allowing the necessary time
Not managing the progress during the project
Not knowing whether the amount of tasks for each member is appropriate
Not sharing information about the current status of the members with the manager and other members

    ▶Can't stay within budget
Man-months were not calculated properly at the time of planning, and more members and time than expected are needed
Many changes, revisions, postponements, and troubles occur during the project, and the project does not proceed according to the schedule

Failure to deliver the desired product
Targets were not set properly at the time the plan was created, and the final quality required by the customer was not reached
The specifications required by the customer were not clear, and it was not clear what should be made.

All of these can be considered project management failures.

What causes project management to fail?

As mentioned above, project management failure leads to the failure of the project itself. Successful project management requires some experience. Inexperienced managers can lead to project failure.

Project management failures include the following

    (1) The specifications required by the client are not clear.

Requirements definition is most important. If the requirements are not clear, it is impossible to know what to build and to plan the project. If the client is not clear about the specifications they want, there are two patterns.

The first is when the client does not have a clear image of the deliverables he or she is looking for. Without a clear idea of what the client wants, it is impossible to define the requirements.

The other is when the client is not able to communicate with the client. Even if the client has an image of the "product" they want, if they cannot accurately grasp it, they will create the wrong product.

    (2) Poor estimation of schedule and tasks

If the estimation of the tasks and the amount of work required to carry out the project is not accurate, the time required for the project will be estimated to be less than it actually is. In this case, the schedule cannot be adhered to.

    (3) Poor management of progress

Managers must be able to accurately track the progress of each member of the team. If the manager cannot keep track of the progress of the project, it will lead to delays in the schedule.

    4) There is a problem with the project members

If the members of the project team lack the skills to handle the case, they will not be able to produce a quality product that meets the customer's requirements. Even if quality is met, if the work takes longer than planned, the schedule will be delayed.

Insufficient time is also a problem, but not at the member's level. If a member is also involved in other projects, it may take longer to process tasks and the schedule may not be met.

⑤There is a problem in communication with the members

Communication between managers and members is also important. If they are not able to share information and communicate with each other, they will not be able to fully share their understanding of the required quality. Without frequent progress reports from members, managers cannot grasp the current status, leading to schedule delays.

In some environments, there are no suitable tools for information sharing, and members may not know how to report.

⑥There is not enough time for the project

Depending on the project, there is often no room in the schedule at the time of planning. Further changes and modifications cannot be accommodated without schedule delays.

Sometimes the number of project members is so tight that no one can take a break and overtime is mandatory. This will often result in poor quality and a schedule that is behind schedule.

What can be done to eliminate these causes and ensure the success of the project?

    What makes project management successful?

There are two effective ways to avoid the project management failures listed above.

    (1) Create a system to promote the project

First, in order to promote the project, it is necessary to create a system that allows all staff members involved in the project to share information and communicate with each other. This "staff" includes not only the project manager, but also managers with budget authority, executives, the client, and project members.

The key is to make sure that everyone is actively involved in the project's progress, communicating appropriately and making it easy to understand the current status.

By creating a system to promote the project, the following three causes of failure can be prevented.

▶The specifications required by the client are not clear.
By incorporating the client as the one promoting the project, communication becomes easier. This will also help clarify the specifications.

    Project members have problems
By having the manager deeply involved in the project, he or she can devote sufficient resources, both human and time, to the project.

There is not enough time for the project
By getting the client and manager deeply involved in the project, you can get them to understand that it is an unreasonable schedule and devote sufficient resources to the project.

    ②Implementation of project management tools

The second way to avoid project management mistakes is to implement a project management tool. Project management tools have the following features that can help you keep your project on track and make it easier to manage.

Clarify the time, members, and other resources required for the project
・Easily manage resource allocation for the entire project and task allocation to members
・Support communication with members and facilitate information sharing
・Clarify members' roles and tasks, It can clarify members' roles and tasks, and give them a sense of ownership of the project.

These features make it easier to manage the progress of the entire organization and individual members, and to grasp the overall picture and current status. And they can prevent the following three of the previously mentioned causes of failure.

▶ Poor estimation of schedules and tasks
Project management tools can clarify the necessary tasks and schedules, and accurately estimate the resources required to handle them.

    Poor management of progress
Project management tools make it easier to manage the tasks of each member and the overall progress at a glance.

    Communication problems with members
Project management tools make it easier to communicate and share information about the project.

Implementing a project management tool can reduce the elements of failure

Project management failures can be prevented to some extent with appropriate measures. One such measure is the implementation of appropriate project management tools. By using a project management tool, the entire picture of a complex project can be grasped and managed in a centralized manner. This will considerably lighten the burden of project management. It will help both inexperienced managers and experienced managers who are busy managing many projects.

We recommend Project Board as a project management tool. Since it is a cloud service, it does not take long to implement, can be used immediately after implementation, and has a low initial cost. All project members can manage one sheet and monitor the progress of tasks in real time. You can also invite guests to your project to communicate and track progress in Project Board. 30-day trial is available, so you can take your time to try it out.
