WAP's "HUE Digital Invoice" begins operation at Kyoto Consumers' Cooperative Union
Starts digitizing and streamlining invoicing operations to achieve a paperless system

 (Headquarters: Chiyoda-ku, Tokyo; CEO: Osamu Hata; hereafter "WAP") announced today that Kyoto Seikatsu Co-op (Headquarters: Minami-ku, Kyoto-shi, Kyoto; President: Tadao Hata; hereafter "Kyoto Co-op") has begun operating WAP's cloud invoice sending and receiving service "HUE Digital Invoice" from February 2024. HUE Digital Invoice," a cloud invoice sending/receiving service provided by WAP. Kyoto Co-op will also use WAP's receiving service for invoice receipt, and will digitalize and streamline invoice operations for all cooperative organizations while minimizing the workload on accounting-related tasks.

Streamlining through paperless operation and core system integration

 In the past, Kyoto Co-op required each user department to input information on invoices received on paper, which required time and effort for approval by each department. To solve these problems, we adopted HUE Digital Invoice, which can be smoothly integrated with the HUE series of ERP package software we use. In addition, in order to reduce the burden on the accounting department, the company decided to use the invoice receiving service provided by WAP as well, and full-scale operations began in February.

Smoothly realize paperless operations: minimize the operational change load for both suppliers and the company itself

 HUE Digital Invoice not only sends and receives digital invoices, but also easily converts paper invoices and PDF files received by mail or e-mail into data through the receiving agent service. This allows you to digitize invoices regardless of the form of receipt and achieve a paperless environment without placing a burden on your business partners.

 In addition, a payment request workflow function is also built in, allowing the paper-based approval process to be carried out in the cloud. Received invoice data is automatically posted to the payment request application form, and can also be copied from past payment request data. The input form displays the invoice image and information input screen on a single screen, facilitating smooth operation.

 In addition, users can upload their own invoices to the system and digitize them to accommodate clients who are unable to change the invoice recipient or delivery method. This allows for both flexible and paperless handling of invoices, thereby improving operational efficiency.

 Kyoto Co-op is promoting the digitization of invoice receipt operations while fully utilizing these functions to meet the needs of its business partners. We intend to roll out the system to all of our offices in the future, aiming to reduce paper use by more than 1,000 sheets per month and improve operational efficiency by going paperless.

Our cooperative is working on the digitization of invoicing operations. We expect that HUE Digital Invoice will help us to solve these issues. We also anticipate smooth integration with our core system. The burden on the accounting department, which is a concern during the transition, is expected to be minimized by using the receipt agency service in combination. We would like to start from the current small start to improve the efficiency of our workflow.

About HUE Digital Invoice

 This is a cloud invoice sending/receiving service that allows users to receive and issue invoices with intuitive operation, and can be linked to the HUE series and other accounting systems to easily support the digitization of invoicing and payment operations.

 The service can be used for hybrid operations that mix paper and electronic file exchange, as well as for Peppol (international standard), enabling continuous use toward full digitalization. In addition, by using the receiving agent service in combination with the service(*), you can receive invoices that are currently received on paper at the Business Support Center, thereby reducing the burden on your business partners and achieving a paperless office.

 This enables the reduction of man-hours required for invoice processing, promotion of in-house paperless operations, and streamlining of invoice-related operations while minimizing the burden on the field and business partners.
